We’re looking for a Legal & Administrative Coordinator to join our SD Solutions core team.

The Legal & Administrative Coordinator will be responsible for maintaining key administrative and legal documentation, overseeing agreements, ensuring compliance with audit requirements, supporting financial processes, and assisting with onboarding activities. This role requires strong attention to detail, organizational skills, and the ability to coordinate across multiple teams.

Responsibilities:

  • Maintain, update, and organize internal records, tracking databases, and legal documentation in compliance with company policies.
  • Ensure accurate documentation and tracking of agreement execution, including contract signing, amendments, and terminations.
  • Ensure accurate and compliant contract and audit confirmations.
  • Upload agreements, contracts, and other legal documents to designated platforms, ensuring proper filing and compliance with internal policies.
  • Verify that required supporting documentation, including identification records, is available for audit purposes.
  • Maintain, update, and manage legal documents in internal systems.
  • Prepare, send, and track contracts, addendums, terminations, equipment policies, and other legal documents via electronic signature platforms and internal systems.
  • Collect signed agreements, finalize necessary attachments, and ensure proper routing for approvals.
  • Upload executed agreements to the digital signing platform and coordinate the approval process.
  • Ensure all relevant team members receive and have access to fully executed agreements.
  • Manage the finalization, download, and storage of fully executed agreements in accordance with company record-keeping policies.
  • Monitor the status and timelines of contracts within internal databases, ensuring timely execution and renewal tracking.
  • Facilitate the proper circulation of finalized agreements among relevant stakeholders.
  • Facilitate the onboarding process for new hires by distributing, collecting, and tracking required documentation.
  • Ensure proper documentation is recorded, stored, and maintained in compliance with legal and regulatory requirements.
  • Support HR and legal teams in managing employee records, compliance-related documentation, and data retention policies.
  • Assist in drafting, formatting, and reviewing legal correspondence, reports, and summaries as required.
  • Act as a liaison between the legal department and other teams, ensuring smooth document processing and adherence to internal procedures.
  • Support internal and external audits by ensuring proper documentation is readily available and in compliance with company policies.

Requirements:

  • Strong organizational and administrative skills with high attention to detail.
  • Experience handling legal agreements, audit documentation, or administrative processes.
  • Proficiency in managing multiple databases and tracking systems efficiently.
  • Strong communication skills to coordinate with internal and external stakeholders.
  • Experience with electronic document management platforms is a plus.
  • Ability to manage timelines and track contract statuses effectively within internal databases.
